Deactivate an Asset
If an asset has child assets, projects, tasks, and subtasks, and you need to deactivate them all, you can do so in one operation. If you need to make simpler changes, you can do so as described in Edit an Asset. All changes to the deactivated objects are recorded in the log. You must have the Asset Deactivation permission to perform this task. To effectively deactivate one of an asset's child projects, see Cancel a Project.
This feature must be configured by a system administrator as follows:
-
Users must be granted the Asset Deactivation permission for assets and asset types as described in Edit Role Information.
-
Reason codes must be specified for Cascaded Operations as described in Portfolio.
-
The master status mapping for Canceled projects must be specified as described in Lookup Tables. For the Asset module, in the Asset Statuses lookup table, set the Master Value of the Inactive status to Inactive.
Deactivating an asset is a permanent action. Deactivated assets cannot be reactivated. A maximum of 1500 total objects may be deactivated by this feature. Child assets that are already inactive and projects that are already canceled or closed are not affected by this operation.
Deactivate an asset and all its child projects, tasks, and subtasks:
-
Navigate to an Asset home page.
-
In the toolbar, click Deactivate Asset.
A preview window opens to show the quantity of child objects that are affected and two lists that can be collapsed or expanded. The lists contain the first level of active child assets and child projects that are affected by the operation. The current sort order of a list is indicated by a blue icon to the right of the sort column name. You may change the sort order of a list by clicking a different column name. Click an object name to view it and its child objects in the main window.
-
Select a reason from Reason Code to indicate why you are deactivating the asset. If no appropriate reason is listed, contact a system administrator.
-
If necessary, enter an earlier date in Deactivation Date.
-
When you are ready to proceed with the operation, click Deactivate Asset.
The operation begins in the background. A message appears in the preview window when the operation is complete or if it fails. If the operation fails for any reason, all changes made up to that point are rolled back and the Deactivation Date is set to N/A. Partial deactivation are not saved.
